The System for Award Management (SAM) is a vital platform for organizations seeking to engage in federal contracting and grant opportunities. A Unique Entity Identifier (UEI) is essential for accessing and managing your SAM registration. In this blog post, we will explore a case study of a non-profit organization that lost its UEI and faced challenges in updating its SAM registration. We will provide a detailed step-by-step guide to retrieving your UEI, updating your SAM registration, and ensuring a smooth and hassle-free process.

Case Study: The Non-Profit Organization’s Challenge

A non-profit organization, which we will refer to as ABC Non-Profit, lost its Unique Entity Identifier (UEI) and was unable to log in to SAM to update its registration. The loss of the UEI was a significant setback for the organization, as it hindered its ability to apply for federal grants and manage its existing contracts. The leadership of ABC Non-Profit was determined to resolve the issue and sought a clear and comprehensive guide to retrieve the UEI and update their SAM registration.

After exhausting all their internal resources and still being unable to resolve the issue, they reached out to our expert team to help them solve the dilemma.
Here is what we did and how you may be able to fix it as well.

Step-by-Step Guide to Retrieving Your UEI and Updating Your SAM Registration:

  1. Understand the Importance of the UEI: The first step for ABC Non-Profit was to understand the importance of the UEI. The UEI is a unique identifier assigned to each entity registered in SAM. It is essential for accessing and managing your SAM registration, applying for federal grants, and managing federal contracts.
  2. Search for Your UEI: ABC Non-Profit initiated a search for its UEI by visiting the SAM website. The organization entered its entity name and DUNS number in the search bar to retrieve its UEI. If you have lost your UEI, you can follow the same process to retrieve it.
  3. Contact the Federal Service Desk: If ABC Non-Profit was unable to retrieve its UEI through the SAM website, the next step would be to contact the Federal Service Desk for assistance. The Federal Service Desk can provide guidance on retrieving your UEI and resolving any issues you may encounter.
  4. Log In to Your SAM Account: Once ABC Non-Profit retrieved its UEI, the next step was to log in to its SAM account. The UEI is required for logging in and accessing your SAM registration.
  5. Review Your Current Registration: Before making any updates, ABC Non-Profit reviewed its current SAM registration to identify any other changes that needed to be made. This is an essential step to ensure that all the information in your registration is accurate and up-to-date.
  6. Update Your Core Data: The Core Data section contains the majority of your organization’s information. ABC Non-Profit updated any fields that had changed, including its address, phone number, and email address. Ensure that all the information is accurate and complete.
  7. Update Your NAICS Codes: If your organization has expanded or changed its services, you may need to update your NAICS codes. These codes classify entities based on their industry. You can search for the appropriate codes on the SAM website.
  8. Review and Update the Assertions Section: The Assertions section requires information about your organization’s size, location, and capabilities. Review and update this section to reflect any changes in your organization.
  9. Update the Representations and Certifications Section: This section requires you to certify that your organization complies with various federal regulations. Review each certification and update any that have changed due to the changes in your organization.
  10. Update Banking Information for EFT: If your organization’s banking information has changed, update this section to ensure that you receive payments for federal contracts promptly.
  11. Review and Submit Your Updated Registration: Before submitting your updated registration, review all the information to ensure it is accurate and complete. Once you are satisfied, submit your updated registration.
  12. Wait for Approval: After submitting your updated registration, you will receive a confirmation email. SAM will then review your updated registration, which can take up to two weeks. Once approved, you will receive a confirmation email, and your updated registration will be active.

Retrieving your UEI and updating your SAM registration can be a complex process, but by following these detailed steps, you can ensure a smooth and hassle-free experience. Remember, if you ever feel overwhelmed or unsure, don’t hesitate to seek assistance. We can provide valuable guidance and support to help you successfully navigate the SAM registration process.
